Reports
Management does not want dashboards — they want a digest email. XICTRAQ generates weekly and monthly reports automatically and delivers them by email to your team, management or invited client contacts. The full report PDF with all detail sections is available for download in the dashboard at any time — on the Agency plan with your own branding.
# Weekly report (email)
A compact HTML email across all active websites in your account: three KPI tiles (number of websites, average availability, number of alerts), a per-website table with status, availability and average response time — plus, where available, a plain-language block with the automatically detected analytics changes of the week. The default send day is Monday; the actual weekday is freely configurable per account.
| Website | Uptime | Response time |
|---|---|---|
| ● shop.example.com | 99.99% | 184 ms |
| ● www.example.com | 99.98% | 142 ms |
| ● blog.example.com | 99.91% | 263 ms |
| ● app.example.com | 100.00% | 97 ms |
What is in the email — and what is in the dashboard
The weekly email is deliberately short: KPI tiles, the website table and the optional plain-language block. It is aggregated across all active websites in your account — not per individual site. Each send is also stored as a record (type weekly_auto) and is available in the dashboard reports area, where the full report including all detail sections can be downloaded as a PDF. If there are orders, the analytics development in the weekly and monthly report lists orders and revenue against the previous period; orders from the Shopware order import count there, as in the revenue tab.
# Monthly report (PDF)
The detailed format as a PDF: cover page, executive summary and every section for which data actually exists in the period — availability, SSL, security, analytics, performance and the compliance/security modules. Each section is only rendered when data exists for it; the page count follows from that and is not fixed. The automatic monthly send runs on the 1st of each month for the previous month; in addition, every report can be downloaded as a PDF at any time on demand.
# AI executive summary in the PDF
Every PDF report opens with an executive summary section. Optionally a compact, AI-generated summary of three to four sentences sits above it, factually summarising availability, performance, security and compliance posture for the period. If the AI variant is not active or briefly unavailable, the standard summary remains.
Deterministically cached, cost-efficient
The summary is generated solely from the already-aggregated report metrics (availability, response time, security score, SSL status, compliance score, pageviews and visitors) — no raw data, no IP addresses, no names. Identical report data yields the same summary from cache (valid for 30 days), and if AI is briefly unavailable or the daily limit is reached a deterministic placeholder text is shown: the report is never blocked.
Compliant wording
The AI is instructed to phrase assessments as indications, not as assurances — terms such as “guaranteed”, “100 % secure” or “error-free” are deliberately avoided. The source of the summary text (AI or placeholder) is transparently noted in the PDF.
# Features
Auto-delivery with configurable weekday
Weekly and monthly reports can be enabled individually in your notification settings. A daily cron checks each morning which reports are due: the weekly report goes out on the weekday chosen per account (default Monday), the monthly report on the 1st of each month for the previous month. Already-sent periods are skipped — each period is sent only once.
Plain-language weekly summary in the email
In addition to the KPIs, the weekly report email contains a short plain-language block: two or three readable sentences summarising the most important automatically detected analytics changes of the week per website (e.g. traffic drop over the weekend, unusually high bounce rate, rising error rate). This way even recipients without dashboard access grasp the essentials without opening a single card.
On-demand generation with section selection
Every report can be generated manually at any time — across all modules or focused on one area (uptime, security, SSL or analytics). Optionally you decide yourself which of the available sections are included, and pick a period from one day up to one year. The finished report stays available in the reports area and downloadable as a PDF.
# Custom report templates
Instead of the standard weekly/monthly reports you can save your own templates: a name, a website, the desired sections, the period in days, optional recipients and the output format. With a frequency (weekly, monthly or quarterly) a cron handles generation and delivery automatically; templates set to “manual” are triggered by you.
Four output formats
A template delivers its artefact as PDF, HTML, JSON or CSV. On scheduled delivery the respective file is attached directly to the email (PDF with white-label where Agency applies); if attachment generation fails once, delivery falls back fail-safe to a link email to the dashboard.
Recipients must belong to the account
A template recipient list accepts up to 20 addresses — but only your own account address and invited team or client members. Unknown external addresses are rejected so scheduled reports cannot be misused as a sending relay.
Example template configuration (how it is created via the API):
POST /api/report-templates
{
"name": "Monatsbericht Kunde Mueller",
"website_id": "01HZ...",
"sections": ["uptime", "sla", "ssl", "security", "analytics"],
"frequency": "monthly",
"period_days": 30,
"recipients": ["kunde@example.com"],
"format": "pdf"
}# White-label branding (Agency)
On the Agency plan, every PDF carries your own branding — the end customer never sees XICTRAQ. The branding data comes from your white-label settings; if the plan does not qualify or no data is set, the default XICTRAQ branding remains.
What is replaced in the white-label PDF
Header logo (data-URI, max 55 × 9 mm), primary colour across all brand surfaces (section titles, KPI values, separators, table headers), company name in the footer and PDF metadata and filename slug. A logo provided via HTTPS is fetched at generation time with a 5-second timeout and 1 MB cap and embedded directly into the PDF (no remote image at runtime). As soon as you set your own company name, the Powered-by-XICTRAQ footer is dropped automatically.
