Profile & company data — account management
Name, email, language, billing address and VAT ID live under Settings → Profile. From this company data XICTRAQ produces correct invoices (mandatory fields per § 14 UStG), automatically switches to net or reverse charge, and presents the dashboard and all emails in the right language. On the same page you manage connected login accounts, the weekly analytics summary and — in the danger zone — the GDPR self-deletion of your account.
# Account details
Display name
The name appears in the header, in reports and in emails. It is editable directly in the profile (required, up to 255 characters). Alongside it you see your email address with verification status (verified / unverified), the active plan and the account creation date — these four fields are read-only.
Language (DE / EN)
You choose the language not in the profile but via the DE/EN toggle in the header. For logged-in accounts the choice is stored server-side in the language field (default: de) and switches the dashboard instantly. The set language also drives delivery: alert mails, reports and status-page notifications use the same language.
Billing address
Company (optional), street + number, ZIP, city and country. A correct address is mandatory for the statutory invoice details (§ 14 UStG) and is used on every invoice issued via Stripe or bank transfer. As soon as you change the country and a Stripe subscription is active, the tax-correct pricing is reapplied automatically.
# VAT ID & VIES validation
VAT ID (B2B EU)
Enter an EU VAT ID (up to 30 characters) and XICTRAQ validates it against the EU VIES service (ec.europa.eu) automatically when you save. After saving, the result appears right below the number: confirmed, invalid, wrong format or no answer from VIES. If VIES does not respond, your data is still stored. Results are cached for 24 hours, and every individual check is logged with its VIES confirmation number.
Automatic reverse charge
Reverse charge (VAT 0%, recipient liable under § 13b UStG together with Art. 196 VAT Directive) applies only when four conditions are met: a valid VAT ID format, an EU country, a country different from the seller's country, and a number confirmed valid by VIES within the last 90 days. When that holds, XICTRAQ automatically switches your Stripe subscription to the net price (gross divided by 1.19). For a third-country address the export tax exemption applies instead (0%, place-of-supply at the recipient under § 3a (2) UStG).
VIES confirmation as qualified evidence
Every positive check is archived with the VIES confirmation number (requestIdentifier) and timestamp. From this data a PDF confirmation “VAT ID check via EU VIES” can be generated that serves as qualified evidence under § 18e UStG resp. Art. 31 of Regulation (EU) No 904/2010 — including a data comparison between your master data and the VIES response. If the EU member state (such as Germany) provides no automatic trader match, the comparison is done manually; the confirmation number remains valid regardless.
# Invoice email & connected accounts
Separate invoice email
Optionally set a separate invoice email address (billing_email), for example accounting or a shared mailbox. Invoices, payment reminders and credit notes are then sent there instead of your login address. If left empty, your account email is used.
Connected login accounts (OAuth)
In the “Connected accounts” section you see whether your Google login is linked, including the link date. A link can be disconnected at any time. An account created via Google carries a random password you do not know: after disconnecting, sign in with Google again — with the same verified address the link is recreated — or set your own password via “Forgot password”. You link a login account from the sign-in page.
Weekly analytics summary
Under “Notifications & reports” a checkbox controls the cross-module weekly digest across all your sites, which appears in the dashboard card of the same name. The feature is on by default (opt-out) and stored in the analytics_weekly_narration_enabled field.
# Delete account (GDPR)
Self-deletion with confirmation
You trigger the deletion yourself under Settings → Profile. For safety you type the confirmation phrase and confirm with your current password. This applies to every account: one created via Google carries a random password you do not know — in that case first set your own via “Forgot password”. XICTRAQ ends running subscriptions and add-ons before the deletion; if that fails, the account stays. On triggering, all your access tokens are revoked and the operator is notified of the account deletion.
GoBD retention of billing data
Personal data is removed under the right to erasure (Art. 17 GDPR). Billing data, however, is subject to commercial and tax retention obligations: existing invoices are retained for 8 years (GoBD) but anonymised — customer name and address are scrubbed, amounts and invoice numbers remain unchanged.
